A new user (administrator, basic user) is created in the Heeros Menu's User Management section.
Creating a new user requires Own Office level user credentials.
In User Management
- Create a new user (administrator, basic user) and assign permissions
- Add permissions and modify user information.
Creating a New User
- Log in to the Menu
- Click on System - User Management in the left navigation frame of the Menu
- Select the New User tab from the pop-up window.
- Enter the new user's details (contact information, password, language)
- Select which companies the user being created will have access to
- Define the permissions for these companies' applications
- Finally, create the user by clicking on the Create User button.
New User Tab
First Name/Last Name
Enter the new user's first and last name in the respective fields.
Username
The program automatically generates a username based on the provided first and last name. The username used to log in to the service is commonly in the format First Name Last Name.
If a user with the same name already exists, the new user is differentiated by adding a number 1 to either the first or last name (e.g., First Name1 Last Name or First Name Last Name1).
Email Address (optional)
Enter the user's unique email address in the field. Purchase invoices and travel expense invoices will be sent to the provided address for review/approval.
Note! The email address is not mandatory, but if the user is to receive Heeros service announcements and user instructions, a personal email address must be added for the user. Multiple users cannot have the same email address. Without an email address, the user cannot access the Heeros Help Center or use the "Forgot your password?" function on the login page.
Password - Confirm Password
Provide the user with a default password and enter it again in the Confirm Password field. The password must be at least eight (8) characters long.
NOTE: For security reasons, we recommend that the user change the default password immediately after the first login using the My Information form.
Language
When a superuser at the Own Office level creates a new user in the Menu, they can also select the user's application language. The language options are Finnish, Swedish, English, and Dutch. The desired language can also be changed by a basic user for an already created user (my information).
After this, add user permissions to the desired applications before creating the new user.
User Rights
In the User Rights list, all companies established in the Menu are displayed. You can individually select the companies to which the user will be granted access by clicking on the checkbox in front of the company name. NOTE! User permissions must be assigned to the desired applications before creating the user. If a user is created without permissions, it is only based on the background system and the user will not appear in the Menu's search menu. This is also indicated by the program notifying that the username is already in use when creating a user with the same name. Please contact our application support if this happens.
Own Office
If you click on the Own Office checkbox in the User Rights list, the user will be granted Own Office level superuser or basic user rights. This right allows access to all companies in Heeros Menu according to the assigned access level.
Select All
By clicking on the Plus button in front of the Select All text, all companies are selected for the user from the User Rights selection list.
Deselect All
By clicking on the Minus button in front of the Deselect All text, the company selections made for the user are canceled.

Customer
In this field, the companies selected from the list are displayed, and the necessary permissions for the Purchase Invoices application are assigned to the new user by clicking the arrow keys.
The browsing user right is only available in the Heeros Accounting application.

Copy Row
If you want to give the user the same permissions for each company, you can use the Copy Row button. Enter the permissions to be used for the top company in the list for each application and click the Copy Row button. The program will then assign the same permissions to each company in the list as those given to the first company in the list.
Create User
Once the user's details have been entered, create the user by clicking the Create User button.
The program will confirm the creation of the user, to which you respond with OK.
The program will notify when the user has been created in the system (OK).
Note! It takes about an hour, at most two, for the new user's permissions to be updated - have a coffee while waiting :)
Username Already Exists
If the program notifies that a user with the same name already exists when saving user information, an error message will be displayed, which is acknowledged by clicking the OK button. In this case, a person with the same name is already found in the Heeros address book among the users of another accounting firm/customer. For example, auditors may have multiple accounts.
User creation is interrupted, and the program switches to the User Management Users tab. Return to the New User tab and start creating the user again by adding a differentiating character such as a number 1 or 10 to the first or last name.

eSalary Rights
If a user needs to be able to print pay slips, retrieve tax card information via the Tax API, send information to the Incomes Register, or pay salaries, you must also have to create a user in Heeros Menu. More information about rights levels here.
eSalary program permissions are maintained in the Heeros Application Support. Please contact Heeros application support when a new user needs to be granted access to eSalaries, permissions need to be modified, or access needs to be completely removed.
