Workflow
When the sales ledger functionality is enabled for sales invoicing, it is important that the actions are performed in the correct order, as it may not be possible to return to previous stages later.
- Transfer invoices made with sales invoices to an external ledger for monitoring
- Convert sales invoices to Accounts receivable invoices
- Define settings for sales ledger invoices
- Transfer invoices made with sales invoices to Sales Invoices Accounts receivable for monitoring.
Invoices belonging to an external ledger
- Go to Sales Invoices Invoices - Accounts receivable view
- Select the invoices to be transferred to an external ledger
- Click Transfer to sales ledger - Selected invoices
Invoices are transferred to the scope of external sales ledger monitoring and will no longer be monitored/processed in sales ledger invoices.
Selecting Invoices
Select multiple "here and there" invoices by holding down the ctrl key on the keyboard and clicking the desired invoices.
Selecting multiple consecutive invoices is done by clicking the first invoice, then pressing the shift key on the keyboard and clicking the last invoice -> All invoices in between are selected.
Invoicing - Converting Sales Invoices to Accounts Receivable Invoices
- Go to Heeros Menu
- Select the company for which Sales Invoices are converted to Sales Ledger Invoices (check the checkbox)
- Click the Sales Ledger button.
The program will notify when the action is completed - click the OK button. Remember to also clear the browser cache. Instructions for clearing the browser cache can be found here for each browser:
Accounts receivable Settings
When Sales Invoices have been converted to Accounts receivable Invoices, the settings listed below must be established/defined. If Sales Invoices have not been previously used, all settings must be established/defined. Note! It is advisable to establish settings in the recommended order, so that information already provided can be used in defining the next setting.
Settings to be defined
- Establish the accounts to be used (Settings - Accounts)
- Create counters for payments and payment reminders (Settings - Counters)
- Add accounting account for bank accounts (Settings - Bank Accounts)
- If VAT codes are in use, select accounting account for them (Settings - VAT Codes)
- Create the payment reminder types in use. Also, the No collection payment reminder type must be established (Settings - Demand of Payment).
General settings
- On the Invoice Information tab, select the default payment reminder. A different payment reminder type can be selected for customer details.
- On the E-invoice tab, check whether invoices with a sum of 0 are sent or not.
- On the Connections tab, select the correct accounting connection.
- On the Counters tab, select the counter for Payments and enter the journal type for payments. Select the counter for Payment Reminders.
- On the Accounts tab, select default accounts for sales account, accounts receivable, VAT account, discount account, manual payment account, and payment reminder expense account.
Products - If you modify products, check the sales account selected for the product.
Customers - If you modify customer information, check the sales receivable account and payment reminder type selected for the customer on the Additional Information tab.
Invoices belonging to sales invoices in the sales ledger
Invoices made with sales invoices by default are not included in the monitoring of sales ledger invoices. These invoices are therefore not shown by default in open or paid invoices, and payment reminders cannot be sent for them.
If invoices made with sales invoices are to be included in the monitoring of sales ledger invoices, these invoices must be transferred to sales ledger invoices. New invoices made with sales ledger invoices are automatically monitored in sales ledger invoices.
- Go to Settings - General - Access tab
- Select Show function Transfer to Sales invoices sales ledger Show action - option in the Show column
- Save settings with the Save button.
- Go to Invoices - Archived view
- Select the invoices to be transferred to Sales Invoices sales ledger monitoring
Click Transfer to sales invoice ledger - Transfer to ledger button.
Invoices transferred to Sales Invoices sales ledger
- Appear in Accounts receivable - Invoices - Incomplete view
- Invoices display information on paid and unpaid amounts, as well as information on the payment reminder type.
Restoring post-transfer settings
NOTE! When all desired invoices have been transferred to Sales Invoices sales ledger monitoring, the function must be hidden to avoid accidental use in the future.
- Go to Settings - General - Access tab
- Select Hide action Move to Sales Invoices sales ledger option in the Hide column
- Save settings with the Save button.
Return of Invoices from Sales Invoices Accounts receivable
If you have accidentally transferred, for example, old invoices to Sales Invoices sales ledger, you can return them to be transferred back to the external sales ledger.
In Sales Invoices
- Go to Settings - General - Access tab
- Change the setting for Show action Move to Sales Invoices sales ledger to Show
- Save the setting with the Save button
- Select the invoices that you want to move out of Sales Invoices sales ledger monitoring
- Click Transfer to sales ledger - Remove from ledger option.
In the Menu
- Go to the browser Menu
- Click the Account receivable button, then Sales Invoicing returns to Sales Invoices and the Accounting selection in Sales Invoices changes to Ledger.
In Sales Invoices
- Return to Sales Invoices
- Select the invoices you want to transfer to an external sales ledger
- After selecting the invoices, click Transfer to sales ledger - Selected invoices, the selected invoices will be transferred to the external sales ledger.
In the Menu
- Go to the browser Menu
- Click the Account receivable button, then Sales Invoices changes from sales invoices to sales ledger invoices and the Accounting selection changes to Ledger.
Remember to hide the sales ledger transfer setting after the transfer so that invoices are not accidentally transferred from the ledger to the ledger!
