Attachments can be linked to an accounting event both from the eReceipt archive and directly from the user's computer. Multiple attachments can be linked to a single event. The attached file can be saved in commonly used file formats such as pdf, jpg, csv, xml, htm, or txt.
You can add an attachment even if tax calculations have already been made for the event or if the accounting lock date otherwise prevents editing of the event.
In order for adding eReceipt to the accounting event to be possible, eReceipt must be defined for use in the Accounting settings tab of the general accounting settings:
Adding an attachment to the accounting event during entry recording
If you wish to attach a file from the user's computer when recording the event, you must first save the entry line, then select the line and choose the Attach action button.
If you want to attach an eReceipt when recording the entry, you must first make the eReceipt input field visible. The addition of input fields is done using the Selecting input fields button.
Select the eReceipt field by checking it (the first field in the list) and confirm the addition with the Ok button.
After this, the input fields will also display the eRECEIPT field.
In the specified field, a list of unprocessed, open eReceipts will open with the spacebar key, from which the desired one can be selected.
When eReceipt is selected in the corresponding field and you move to the next field by pressing enter, the program suggests the voucher date as the date of the eReceipt, the amount as the sum of the eReceipt, and the description as the purchase location of the eReceipt.
Adding attachments to accounting transactions afterwards
Using the Attach –button in the transaction entry allows you to add attachments to the selected transaction:
Attach button is visible in Events – Open, Events – Private, and Events – All views. In all of these views, attachments can be added to the vouchers. Additionally, the Add attachment button is visible in the accounting assignments of the bank statement.
Select whether to retrieve the additional attachment from the computer (Lisää tiedosto/Add file) or from the eReceipt archive (Get eReceipt).
When you retrieve attachments from the eReceipt archive, you can select the desired attachments and after pressing the Attach button, the program will add the attachment to the accounting event, and the eReceipt archive will close.
At this stage, it is also possible to edit the attachment. The attachment can be edited using the Open button.
The eReceipt or attachment recorded for the accounting event can be viewed by clicking on the entry's voucher number. The link comes with each entry of that voucher. Clicking the link opens the Archive where the attachments can be accessed. You can identify the added attachment by its blue voucher number.
Removing an attachment
It is possible to remove only the attachment from the accounting transaction without deleting the entire transaction. The removal of the attachment is done in the transaction entry using the Attach button and in the bank statement postings using the Add/Remove Attachment button.
By selecting Remove attachment, the program will open a separate window where attachments in the Archive can be checked for removal.
By selecting Delete attachment in Archive, the program removes the attachment related to the transaction from the Archive but the accounting transaction itself remains.
Attachments will also be removed from the transaction if the entire entry is deleted from the general ledger. The program will also delete the attachments linked to the voucher from the Archive. Transactions removed eReceipts will return to the eReceipt archive in the Open eReceipts section, from where they can be reattached again.
