The program includes the Model charts of accounts for Companies (Liikekirjuri), Real Estate (Kiinteistökirjuri) and Associations (Yhdistyskirjuri). The accounts are ready in the Model Accounting companies, which Heeros experts add while setting up the Heeros environment. The Kirjurituote chart of accounts can be used in the Heeros environment as the common chart of accounts for all companies using accounting.
A company can also have its own accounts. If an account with the same account number exists in both own and joint accounts, the program will retrieve the account and its name from the own accounts. It is recommended to use account groups based on model companies, as the pre-defined report settings are based on the chart of accounts of Liikekirjuri, Kiinteistökirjuri and Yhdistyskirjuri.
If there are changes to the chart of accounts for Liikekirjuri, Kiinteistökirjuri, or Yhdistyskirjuri, you will be informed. Heeros does not make changes to customers' own charts of accounts, so everyone must make the necessary changes themselves.
If you only have your own chart of accounts and not a common chart of accounts, you will see options Accounts and Used accounts in the menu.
Accounts
Accounts - In the Accounts view, company-specific accounts can be established as needed. It is recommended to use a common chart of accounts for different companies. In this case, there may not be a need for separate accounts. Separate accounts established in the Accounts view are needed if company-specific accounts or account definitions are required. If the same account number exists in both own and joint accounts, the program will primarily look for the account in own accounts.
Setting up a new account starts with the New button.
Account - Please complete the account number
Name - Provide the account name. If necessary, also provide the name in Swedish and English.
VAT code - Define the default VAT code for the account (if it is a taxable account). VAT codes should be set up in Settings - VAT codes view or alternatively common VAT codes should be in use. In this case, in the settings (General - Accounting settings), specify from which company the VAT codes are used.
Entry instruction - You can write internal guidance on the purpose of the account here.
Reporting code - Not in use at the moment.
Type - Provide input on the type of account, whether it is an income statement or balance sheet account.
Contra account - Choose a possible contra account for the account being set up. The account defined here will be suggested as the contra account in transaction entry. It can still be changed in the transaction entry if desired. Note: In order for the program to consider the contra account given to the account in transaction entry, it must be defined in the general settings of the accounting (on the Accounting Settings tab).
Internal - Not in use at the moment.
Balance sheet specification- In this section, you can define how the account will be displayed in the balance sheet specification.
- With 'No' option, the account will not be printed in the balance sheet breakdown at all.
- With 'Balance' option, the balance of the account will be printed in the balance sheet breakdown.
- 'Open purchase accounts' and 'Open sales ledgers' - not in use at the moment. Print attachments separately from the purchase and sales ledgers.
- With 'Open invoice ledger', the program prints the open invoice ledger of the account.
- With 'All events' option, the account will first print the opening balance, then all transactions during the accounting period, and finally the closing balance.
- With 'Increases and deductions' option, the account will print the opening balance, additions during the period, deductions during the period, remaining expenses before depreciations, depreciations, and closing balance.
Balance sheet breakdown description - You can provide additional information related to the balance sheet breakdown in this field. The given text will be printed after the respective account in the balance sheet breakdown. For example, for the accounts payable account, only the balance can be defined to be printed in the balance sheet breakdown with the additional text "As per attachment. Attachment 1" and a separate open invoices report from the purchase ledger will be printed as an attachment on the balance sheet breakdown.
Invoice ledger - You can define the account to be set up as an invoice ledger account. If Invoice ledger use is defined in the general settings, the accounts receivable window will automatically open for entering transactions on invoice ledger accounts. In the invoice ledger window, the necessary invoice ledger information can be entered for the transaction. Net- selection will have the program record the taxable accounts receivable account entry as a net amount in the accounts receivable (e.g. fixed asset account). Gross- selection will have the program directly transfer the recorded amount to the invoice ledger as is.
Periodicity Account - Currently not in use.
Automatic entires - Not in use at the moment.
Used in the application - Not in use at the moment.

Used accounts
In the view of Used accounts, you can see the accounts where transactions have already been recorded in the Heeros accounting program for that particular company.
Joint Accounts
In the view of joint accounts, you can see the accounts defined in the settings (General – Accounting Settings) for the model company. Editing these joint accounts is done through the Model Accounting company. If company-specific accounts or account definitions are needed, the account should be created in the company's own accounts in the Account – Accounts view.
Importing Accounts
You can also import a chart of accounts into the system. At the end of the instruction, there is an example file that you can upload. The example chart of accounts is created with VAT codes according to Liikekirjuri 2020. If you import the example file as it is without any changes, you should make selections as shown in the image below.
