Debit invoice settlement
This guide covers how to manually process a credit invoice and its corresponding charge invoice.
Example: The charge invoice number 2025001 (122 EUR) has been credited by a credit invoice
number 122 (-122 EUR).
Credit invoice settlement
- Go to the Sales Invoices Accounts Receivable – Invoices - Due view.
- Select the credit invoice 122 by clicking on the invoice row once –> the row will change to a blue background. Note! If there are many invoices, you can use the search function to assist in selecting the invoice.
- Click the Payments – Make manual payment button at the top of the view.
- Enter the necessary information for the opened credit invoice payment.
- Finally, save the payment by clicking the Done button.
Credit Invoice Payment Information
Customer - Select the customer on the credit invoice from the dropdown menu. Note! The information will be automatically populated when the invoice is selected before clicking the Make manual payment button.
Type of payment - Select from the dropdown menu; Credit or Manual payment.
Payment date - Select the desired date for the payment from the calendar, for example, the due date of the credit invoice.
Total - Enter the amount for the credit invoice, for example -122 EUR.
Debit account - Select an interim account from the dropdown menu, for example.
Credit Account - Select from the dropdown menu, for example, an accounts receivable account.
Comment - Enter a free-form message as a comment, for example, Credit Invoice, the credit pertains to invoice xxxx.
Applied to invoice - Select invoice number 122. Note! The information will be automatically filled in when the invoice is selected before clicking the Make manual payment button.
Finally, save the payment with the Done button.
Debit invoice settlement
If the credit invoice was originally created using the Create Credit Invoice function, after completing the credit invoice, the question Also sign debit invoice? will appear. By answering the question Yes, the settlement of the debit invoice will be displayed on the screen.
If a credit invoice has not been created using the Create credit invoice function, proceed as follows:
- Go to Sales Invoices Accounts Receivable – Invoices - Open view
- Select invoice 2025001 by clicking on the invoice row once –> the row will change to blue
- Click the button at the top of the view Payments – Make manual payment
- Provide the necessary information for the opened charge invoice payment
- Finally, save the payment with the Done button.
Charge invoice payment details
Customer - Select the customer listed on the invoice from the dropdown menu. Note! This information will be automatically filled in after the invoice is selected before clicking the Make manual payment button.
Type of payment - Select from the dropdown menu; Credit or Manual payment.
Payment date - Select the desired date for the payment from the calendar, for example, the due date of the credit invoice.
Total - Enter the amount to be settled, for example, 122 EUR.
Debit account - Select an interim account from the dropdown menu
Credit account - Select a receivable account from the dropdown menu
Note - Provide a free-form message as a note, for example, Amount credited on credit invoice xxxx.
Applied to invoice - Select the invoice 2025001. Note! The information will be automatically completed when the invoice is selected before clicking the Make manual payment button.
Save the payment finally with the Done button.
Note! If the credit invoice offsets only part of the charge invoice, the remaining portion of the debit invoice will be displayed on the screen. You can choose to complete the remaining part of the debit invoice or leave the total amount of the debit invoice open by clicking the Close button.
