Importing Invoices
Example File
The Importing Invoices function allows you to import invoices created in another system into Sales Invoices. The imported file must be in either CSV or Finvoice format. Instructions for Finvoice import are provided in the following section.
During the import, invoices can be sent to customers from Sales Invoices or only transferred to receivables tracking and archive.
NOTE! CSV import does not check invoice numbers, so it is possible to import the same invoice multiple times. The re-imported invoice will overwrite the existing invoice with the same number, so be careful not to import the same invoice again.
Importing Invoices
Go to the invoice import view by selecting Invoices - Invoice CSV Import
Import Settings
Import invoice material - Select the CSV file to be imported by clicking the Browse button and selecting the file from the storage directory. One CSV file can contain multiple invoices.
Character Set - The character set requirements have changed, and the character set selection for CSV import is no longer relevant. This change prepares for future changes in CSV import.
Also, choose whether to update and/or create customer information and product information from the imported rows in Sales Invoice registers.
Customer Register - In the case where the identifier already has a customer, choose whether to update the existing customer information in Sales Invoices or not.
- Update customer - Selecting this option will update the existing customer information in the register.
- Do not update - Selecting this option will not update the existing customer information in the register.
Customer Register - In the case where the identifier does not have a customer, choose whether to create a new customer or not.
- Create a new customer - Selecting this option will only create new customer information and will not update the existing customer information in the register.
- Do not create - Selecting this option will not create new customer information.
Product Register - In the case where the identifier already has a product, choose whether to update the existing product information in Sales Invoices or not.
- Update product - Selecting this option will update the existing product information in the register.
- Do not update - Selecting this option will not update the existing product information.
Product Register - In the case where the identifier does not have a product, choose whether to create a new product or not.
- Create a new product - Selecting this option will only create new products and will not update the existing product information in the register.
- Do not create - Selecting this option will not create new products.
Only to accounts receivable - By selecting this option, the invoice data will only be transferred to Sales Invoices receivables tracking. The invoices have already been sent to customers from the base system, so they will be directly archived and become open invoices in Sales Invoices.
Selecting Yes will automatically transfer the invoices to open receivables (Sales Receivables - Invoices - Open). Imported invoices will first be moved to the Sent state for archiving (pdf retrieval), after which they will be moved to open sales receivables. If Yes is left blank, the invoices will be moved to the Ready state (Invoices - Ready).
Finally, click the Send File button to transfer the invoices to Sales Invoices.
Venda will automatically generate the invoice number / reference number if this information is not imported during invoice import (in the CSV file). Imported invoices can be edited normally after import.
NOTE!
In CSV invoice import, the line discount can be either positive or negative. Venda takes into account the line discount regardless of the sign.
