Sending Documents to Heeros Archive
The Syncra installation package is only available to customers who already have it and now need it for a new computer. If necessary, the installation package must be ordered from support via the service request form.
Introduction to Syncra
It is necessary to use the Syncra interface only during the implementation, unless you want to change or view the status of sent documents.
The information in the Syncra Login and Settings views can only be changed if Syncra is launched as an administrator:
- hover over the Syncra icon and right-click
- select Run as administrator
and the user has logged out of the Syncra interface by clicking the Log out button.
Defining Settings
Before launching Syncra for the first time, the location information and updating of Syncra folders must be defined in the Settings view.
- Temporary directory: specify the location where the files required for document processing are saved (technical requirement).
- After logging in, Syncra will create subfolders in the storage folder specified in the Document directory field in the Archive, according to the main and subcategories in the Archive.
- If necessary, you can define (Define button) what types of files (masks) are sent/not sent to the archive.
- Update folder structure: specify the time when Syncra automatically retrieves data from newly added folders in the Archive on a daily basis.
Logging In
Syncra requires logging in before it starts transferring documents to the Archive. In the Login view, enter: username, password, and Heeros Link address.
- Username and password are the same as those used to log in to Heeros applications in the web browser. The Syncra user must have Office-level rights.
- Heeros Link address defines which Heeros Menu Adminoid folder structures Syncra displays. Archive folders can be viewed on the Folder Structure tab.
After entering the information, you can log in and start sending documents to the Archive by clicking the Login button.
Other Functions in the Login View
- The Log out button stops sending documents to the Archive. Document sending must be stopped if you want to change the information on the Login or Settings tab.
- The Update folder structure button displays new folders added to the Archive. Note that updating the folder structure takes a moment.
- The Status field indicates whether the sending functionality of Syncra is running
- Running: Syncra is on and sends added documents to the Archive within 30 minutes of their addition.
- Running. Start Syncra as an administrator to change settings: Syncra is on. If you want to change settings, start Syncra as an administrator.
- Stopped: Syncra is off and does not send documents to the Archive. Click the Login button to start sending documents.
Syncra Reports
There are several different reports available on Syncra's functions.
The History view displays the 100 most recent documents saved in the Archive:
- date and time,
- company name,
- folder name, and
- file name.
The Failed view displays all files whose transfer to the Archive has failed.
The Technical log contains technical information about Syncra's operations.
The Folder Structure view allows you to view Heeros Menu Adminoid folder structures.
Sending Documents to Heeros Archive
- Send documents to the desired company's Archive with Syncra by saving, copying, or pasting files into the folders specified in the Document Directory settings.
- Each document sent with Syncra becomes its own document in the Archive. The document name in the Archive is the file name without the file extension (e.g., pdf).
- Syncra automatically sends files whenever your computer is on and you are logged into Syncra. If you close your computer in between, Syncra will continue sending as soon as the computer is restarted. The login information is automatically saved in Syncra.
- Syncra sends files within about an hour. Check the sent files on the History tab in Syncra or in the Archive.
Note! If you want to change the folder structure, you must do it in the Archive. Note! Documents must ALWAYS be saved in the lowest folder in the folder structure.
