The document archive is built from main folders and their subfolders. Documents are always saved in subfolders. The levels of folders are called divisions in the archive.
Only the divisions that contain documents are shown in the directory tree of the document archive. You can view the documents in the directory tree by clicking on the plus sign in front of the document row.
The number of documents under a division is shown in brackets on the division row. A document in a sub-division can contain multiple attachments. The division row shows the total number of documents in the sub-division. To make the views clearer, the listing is limited so that when you click to expand the listing, the first hundred documents are displayed. By clicking the division row again, the next hundred documents will be shown. If all the documents in the expanded division are not visible due to this limitation, the name of the division and the number of documents to be displayed will be shown in red.
The main user can see all the documents and their attachments in the document archive. The basic user can only see the documents and their attachments for which they have permissions. By default, the divisions are visible to everyone. If the divisions/documents are not intended to be available to all users, their read and edit permissions should be changed.
The structure of the archive's directory tree can be modified by selecting Settings - Division Maintenance.
In division maintenance, you can create new divisions or modify existing ones by renaming them or changing their permissions. Existing divisions can also be deleted if no documents have been saved in them.
