Incomes Register Certificate
The implementation of the certificate is a two-step process:
- application for the use of the electronic interface
- certificate retrieval in the Menu
All incomes register notifications for customers in the Menu can be sent with one certificate of the accounting office. If necessary, a separate certificate can also be requested for individual customers; in this case, the customer's representative must submit an application to the incomes register for the use of the electronic interface and provide the credentials for the certificate retrieval to the accounting office.
No authorization from client companies is required for the use of the electronic interface, but if the accounting office wishes to report, verify, or correct information directly to the incomes register, the client company must authorize the accounting office for the use of the incomes register.
Application for Access to the Electronic Interface
The application for activating the interface is made in the Tax Administration's electronic service at the address: Tax Administration's Certificate Service.
- Click the link Log in to the Tax Administration's certificate service (Production Certificates) and log in with your bank credentials.
- Click the link on behalf of the company or organization you represent.
- Select the company you wish to act on behalf of. Please note that the application can only be submitted by a person with the authority to sign on behalf of the company.
- Select Settings - Technical Interface and Certificates from the left sidebar.
Start filling out the application by clicking Submit an application for the activation of the technical interface.
- Make sure that the information in Applicant Information is correct.
- Select Purpose of the Interface to indicate what information the certificate is intended to report:
- Salary Information, reports salaries paid - Select this ONLY if your company reports only its own salary payment information to the incomes register.
- Salary Information, reports salaries on behalf of another party - Select this if your company also reports information for other companies to the incomes register. This option can also be used to report the company’s own information. This is usually the correct choice for accounting offices. If you are unsure what to select, ask for further information from Heeros Support.
- Select Channels - Salary Information - Web Service.
- Read the terms of use for the technical interface and tick the box I accept the terms of use.
Check the details of the application and click Submit.
The page will display a notification Application for interface was successful.
Click Request certificate
- Select the type of certificate.
- Certificate description - In this field, write Heeros. If you have multiple Menus, also include the Menu name in this field. This way, you can differentiate between the certificates requested for different software and Menus. NOTE! Max 40 characters.
- Please fill in the technical contact person's details for the certificate carefully, as the information required for the certificate request will be sent to the provided email address and phone number. NOTE! The phone number must include the country code, e.g., in Finland +358!
Once the information has been verified and is correct, click Submit.
- After submitting the application, the verification order will be initiated automatically.
- A secure email will be sent to the contact person at the provided email address. The secure email can be opened with a PIN code received via text message.
- The certificate must be collected with the provided credentials within 14 days.
The organization must allow messages from the address no-reply@vero.fi so that secure emails are not interpreted as spam. This address is the sending address for secure emails.
Fetching the certificate to Heeros
1. Log in to Heeros in your browser
2. If you are directed to any view other than the Menu, navigate to the Heeros Menu
3. Click the Incomes Register button in the left navigation bar
4. Click the Certificate Service link on the left side of the opened view and then the Certificate Request button.
5. Select the company managing the Menu or the end customer
- If you select a company managing the Menu, the certificate will be used for all companies that do not have their own separate certificate requested.
- If you selected an end customer, choose the desired end customer from the list. In this case, the certificate is company-specific and will only be used in the incomes register materials of the selected company.
6. Enter the selected company's business ID or other identifier
7. Input the transfer id obtained from the incomes register and the one-time password (NOTE! We recommend copying and pasting the information, rather than entering it manually. Ensure that no extra spaces are included at the beginning or end of the identifiers during copying)
8. Click the Send button
9. You will receive a notification of the successful certificate retrieval
- NOTE! If you enter the transfer code and one-time password incorrectly 5 times, you will need to submit the application again in the electronic services of the incomes register.
10. You can view the requested certificates and delete them in the Existing Certificates view.
Certificate Automatic Renewal
Incomes register certificates expire every two years. An automation has been implemented in the Heeros service, which automatically renews the certificates before they expire without end-user intervention, provided that a new certificate has been retrieved during the implementation phase. The automatic renewal occurs approximately 1-2 months before the certificate expires.
