Import file specifications
Importing customer data
File description and example file
The customer register can be imported into the program using a csv file in the File Imports - Customers view.
Import file specifications
Under the Instructions heading, you will find guidance for the import as well as a description of the import file HSI_customer_registry_specifications_EXT and an example file HSI_customer_import_CSV_example, which can also be found at the end of this guide.
The CSV file contains customer data separated by semicolons. The first row contains the column names. The order of the columns does not matter.
A new customer is created for each row in the file. If there is already a customer in the register with the same code, this row of the file will be skipped. If the "Update customer" option is selected, the existing customer will be updated.
Mandatory information in the file include:
- Customer_code
- Customer_type
- Customer_name
- Country
- Street_address
- Postal_code
- City
- Country - country of the address
- BusinessID - either business ID or VAT number must be provided
- VAT_number - either business ID or VAT number must be provided
- Delivery_channel
- if the delivery channel is EINVOICE, the field Einvoice_address must be filled with the e-invoice address
- if the delivery channel is EMAIL, the field Invoice_reception_email must be filled with the email address of the invoice recipient
More detailed instructions can be found in the import file description HSI_customer_registry_specifications_EXT.
Importing customer data
The import takes place from the File Import section, where you can select or drag a file, choose the encoding, and specify whether to update the existing customer during the import.
When you click Select file, the program displays the file name and its contents. A notification about the file validation appears in the upper right corner.
The red notification informs about any incorrect data and the columns in question are highlighted. You can delete the incorrect file using the trash button, after which you can import the corrected file.
Other option is to select and delete only the incorrect row. After that you can import the rest of the file with Send-button.
When the data is correct, after clicking the Send button in the lower right corner, the program will notify you that the file has been successfully sent to the import process.
After this, the imported customers will appear in the Customers - All customers view.
