Locked documents and invoices
The purpose of locking a document is to prevent other users from handling the same document (invoice, travel invoice, settings, register or report) at the same time.
Document will be locked to other users whenever a another user has already opened the same document. Document can be unlocked, but it will be also unlocked overnight.
When a document is locked, a red sign forbidding use is visible in the invoice field.
Unlocking a document
When trying to open a document, which is already opened by another user, you will get a notification: The document is locked, but you are able to edit it. The notification informs the user who has locked the document and when (date and time). The notification is always shown in the same language you are using program with.
By clicking OK, you are able to unlock the document and to handle it normally.
By clicking Cancel, the document will stay locked and it will not open for editing.
In case the document is locked (check date and time) at the time you are trying to open it, another user is currently handling the same document and it should not be opened for editing. Simultaneous editing of documents can cause save conflicts. Close the document by clicking Cancel and return to editing later.
In case the document has been locked earlier (check date and time), you can unlock the document if needed by clicking OK. Document will then open for editing.
Unlocking an invoice
When double-clicking a locked invoice, a notification Invoice is locked opens to a new window. The notification is always shown in the same language you are using Circula with.
- Check the date and time of the last save (Last save)
In case the document is locked (check date and time of the last save) at the time you are trying to open it, another user is currently handling the same invoice and it should not be opened for editing. Simultaneous editing of a document can cause save conflicts.
Close option will close the invoice still in locked-mode and you can return to handling it later.
In case the document has been locked earlier (check date and time of the last save), you can unlock the document if needed.
Open invoice option will open the locked invoice, after which the invoice can be unlocked by clicking Unlock invoice (at the top of the invoice view)
After unlocking the invoice, it will open for editing and you can save information normally.
