Categories of eReceipts
eReceipts submitted to the eReceipt archive are displayed in the archive under three different tabs based on their status: Open, Handled, and All.
- In the Open status, eReceipts have not yet been linked to Purchase Invoices, Heeros Accounting events, nor have invoices been generated in Heeros Purchase Invoices.
- Handled status eReceipts have already been linked to Purchase Invoices, Heeros Accounting events, or invoices have been generated in Heeros Purchase Invoices.
- The All tab on the eReceipt view includes all eReceipts imported into the program that have not been deleted.
Upon entering the eReceipt archive, Open eReceipts are automatically visible. You can switch to view processed eReceipts by selecting the Handled Receipts or All Receipts tab. If you are looking for older eReceipts, use the sorting function of the columns.
Functions of the eReceipt View
By clicking the Open button (1), you can access detailed information about the eReceipt.
New eReceipts are added to the eReceipt archive through the New eReceipt button (2) in the upper right corner of the page. More information on creating eReceipts through the browser can be found here.
You can mark a selected eReceipt as processed and move it to Handled eReceipts using the Mark as Handled button (3) if you do not want to link it to a purchase invoice, accounting event, or generate an invoice in Heeros Purchase Invoices.
You can create an invoice in Heeros Purchase Invoices from the selected eReceipt or eReceipts using the New Invoice button (4). More information on creating an eReceipt into an invoice can be found here.
Receipt image recognition
Receipt image recognition is enabled by default for all users. A user with the own office level rights can disable and re-enable the feature in eReceipt using the OCR Enabled switch.
Receipt image recognition is now available directly in eReceipt. Users can select the desired open receipts and click the Send for Recognition button at the bottom. The system will send the receipt to AI for recognition, extracting key details when possible:
- Purchase date
- Supplier
- Amount
- Currency
- Payment method and card number (if recognized from the receipt image) will be stored in the Additional Information field.
If a receipt contains multiple files, the recognition will be performed on the first file.
The program will ask you to confirm whether you want to send the receipt for recognition. The identified data will be displayed on the eReceipt:
Searches, Filters, and Sorting
Users can choose the displayed columns through the Columns button on the right side. Selections remain the same until the page is refreshed. Columns can be arranged in the desired order by dragging and dropping.
Searches and filtering of receipts can be made through column filters. It is possible to enter a keyword into the filter or make a more specific search through the filter button.
By holding down the SHIFT key and sorting columns, you can set secondary or tertiary sorting in the eReceipt archive.
Features of the table in the eReceipt archive
In the eReceipt archive view, it is possible to copy information of eReceipts or export the events of a filtered view to an Excel or CSV file.
Copying Rows and Cells
- Narrow down the view using column filters to select the receipts to be copied.
- Press and hold the left mouse button to select the desired cells.
- Right-click to open the context menu, where you can choose either Copy or Copy With Headers.
- Copy will copy the row data. Copy With Headers will copy both the row data and column headers.
- Paste the copied rows into the desired file.
Exporting Events to Excel or CSV File
- Narrow down the view using column filters to select the receipts to be exported. Please note that all columns in the view will be included in the file, so please make the necessary selections in column choices as well.
- Right-click to open the context menu, and choose either Export - CSV Export or Excel Export.
- You can open the file through browser downloads.
