Users can send tax declarations and PDF attachments to the tax authority directly from Heeros Accounting. It is also possible to mark the tax declaration as sent if the declaration is submitted to the tax authority through another channel.
Sending the tax declaration and marking it as sent will also save the TYVI data in the Archive. Please add information in the general settings (Settings - General - VAT tab) about which main category of the Archive the income tax declarations will be stored in. After saving, it may take a moment for the income tax declaration to utilize the main category of the Archive in the settings.
Sending income tax declarations requires a valid incomes register certificate, which is also used in VAT and income register declarations. Making the submission also requires the use of the Accounting++ feature and the user to have main user rights in Accounting (company-specific or Own office level).
Submitting tax returns to the tax authority directly from Accounting
Once the tax return has been created, you can submit it directly to the tax authority from the Income Tax Returns view (Reports – Income Tax Reporting – Income Tax Returns). The main form and the annex form must be sent in the same submission, and only forms for the same tax year can be selected.
Send Selected function sends the selected notifications to the tax authority using the tax authority's API and the same channel and certificates that are used for VAT and income register declarations. The status of the data submission is also displayed on the tax declaration line, and more detailed information, such as submission errors, is presented in Heeros' Income Register Service. Submitted notifications cannot be edited after submission.
Select the calculation to be sent by checking the box in front of the row and click the Send Selected button. The program will ask for confirmation, "Are you sure you want to send the data to the tax authority?"
Confirm the shipment by clicking Ok. If you wish to cancel the shipment, click Close.
Income Tax Reports view has three columns related to the submission:
- Transfer status -column shows the status of the notification's delivery. The field is empty if the delivery/marking as sent has not been made. After the delivery or marking as sent, there are three statuses: Sent, Marked as Sent, and Error.
- Sender -column shows the username used to send the notification.
- Transfer date -column shows the date of sending the calculation to the tax authority.
After the delivery, feedback from the tax authority's service is received immediately regarding the delivery:
- Sent. The notification has been successfully sent and received by the tax authority's service.
- Error. If there is an error in the material or transmission. If the transmission fails due to an error in the material, the reason will be indicated in the error message on the Income Register menu side.
Sending PDF attachments to the tax authority
The Income Tax Declaration view allows you to upload PDF files that can be sent to the tax authority as attachments to the tax declaration. PDF attachments can also be sent without the main or attachment forms. For example, the auditor's statement can be submitted after sending the tax declaration. The size of the PDF attachment must not exceed 20 MB due to backend system limitations. Larger attachments can be submitted to the tax authority via the ilmoitin.fi service, up to a size of 30 MB.
Click the Add PDF file button to open a window where you fill in the details: Accounting period, Attachment type, Identifier, and PDF attachment.
Attachment type is important to select correctly as it tells the Tax Administration what the attachment contains, and determines, among other things, whether the file will be published in the trade register. Attachments intended only for the Tax Administration have been named accordingly, for example, "Financial Statement for Tax Only". For more information regarding the processing of attachments, you can contact the Tax Administration's service numbers or other service channels.
Other attachment is an unusual attachment type: The filename transmitted to the tax authority will also include text from the Identifier field. Special characters must not be entered in the Identifier field. No checks are performed on the content, but the tax authority has separately prohibited sending its own attachment forms as an Other attachment type.
The attachment can be reviewed later from the Income Tax Returns view via the PDF icon in the attachment field. The attachment is saved to the Archive view during the import process.
NOTE:
Some attachment types are not supported and must be submitted, for example, through the ilmoitin.fi service. Heeros does not currently plan to support their submission in the future.
The unsupported attachment types are:
- Additional distribution decision only for Tax (The additional distribution decision can be sent)
- Financial statements only for Tax (The financial statements can be sent)
- Long income statement (Only as an attachment to form 6C)
Correction of erroneous eata and resubmission
Sent notifications can no longer be edited. The Copy tax form function copies the selected notification in its entirety as a new line, which can be freely edited and resubmitted after copying. This function is specifically intended for correction notifications, which are made by submitting a new notification corrected to the tax authority.
Manual submission of tax declaration to the tax authorities
The TYVI material for the tax declaration can be submitted to the tax authorities manually through the ilmoitin.fi service.
In accounting, an announcement can be marked as sent, which prevents the modification of the announcement and serves as a reminder that the announcement has been sent. Heeros cannot confirm whether the announcement has actually been sent, so the responsibility for sending the announcement and its accuracy remains with the user. The function creates TYVI files for the archive; to archive the correct information, the entry must be made at one time for one tax year.
